Job description


Main purpose of the role

The main purpose of the role is to provide a high standard PA/Secretarial support to the Regional Managing Director and Management Team. In addition to establish and manage the administration staff and office processes for the region to consistently high standards. To understand, implement and adhere to SHEQ policy and strategy and ensure that all staff reporting to you does the same.

  • Provide a professional PA/secretarial support service to the Management Team.  This includes diary management, screening calls, email screening, post management as well as production of letters, reports, presentations etc as required.
  • Responsible for the establishment and management of the day to day administration processes.
  • Organise and maintain diaries of the Management Team – ensure fully briefed on daily/weekly appointments, including any changes and coordinate with individuals any relevant paperwork required. 
  • Arrange meetings, conferences and workshops as requested including internal catering and travel arrangements.
  • Responsible for collating, producing and circulation of any documents or reports as requested, this includes board reports, financial reporting, sales reports/stats etc.
  • To support and develop any administration staff working for Keepmoat Homes
  • Attending meetings as required including coordinating any necessary paperwork taking minutes, arranging refreshments/lunch necessary
  • To ensure the set up and management of the filing and information systems. Ensure systems and processes are consistent with other Homes regions to ensure a standardised approach.
  • Provide administration support to the Heads of departments including filing, copying, scanning etc ensure best practice and innovation of new processes is utilised.
  • To ensure guests/visitors are received in a professional and welcoming manner.
