Job description
Main purpose of the role
The main purpose of the Legal Administrator is to provide a high standard of general administration, company secretarial assistance and support to the business. This is a very versatile role, and it will suit an individual that appreciates being involved in various projects and enjoys a challenge. Training will be provided to the successful candidate.
Key Accountabilities:
- Monitor the Group Legal Queries inbox and log/allocate new tasks
- Provide secretarial and admin support to the Legal and Compliance team
- Assist with processing Data Subject Access Requests (training will be provided if required)
- Liaise with internal customers
- Liaise with our panel solicitors regarding training, updates on Keepmoat’s procedures, requesting information/updates etc.
- Maintain various records and registers as required by the Legal and Compliance team
- Raise Purchase Orders for any instructions that Group Legal are responsible for paying and maintain a spreadsheet of all invoices paid
- Arranging meetings (booking meeting rooms, ensuring room ready, equipment available and set up, refreshments, meeting agenda and documents available and meeting room tidy afterwards)
- Managing incoming and outgoing postal requirements
- Scanning, saving and filing documents, archiving as required
- Filing, copying, archiving etc. ensuring best practice and innovation of new processes is utilized
- Preparing, printing, binding and distributing reports
- Support the compliance team when additional resource is required including DSARs and AML checks
- Occasional reception cover at the head office reception
- Opportunity to become a Fire Marshall

Skills, knowledge & experience
Essential:
- Enthusiastic, self-motivated, solutions focused approach
- Strong numeracy and written and communication skills
- Knowledge and a good understanding of Microsoft Office, Teams/Zoom, Excel
- Highly organised and efficient
- Professional and courteous
- Ability to work in a team as well as on its own initiative
- Ability to prioritise competing tasks
- Familiarity with legal terminology
- Previous experience of working as a legal administrator
Desirable:
- Previous experience of working in a law firm or in-house legal department.
- Experience of processing Subject Access Requests
- Experience of working in compliance/AML
- Experience of corporate law, disputes and GDPR
Education & qualifications
Essential:
- GCSE grade C or above in English and Maths
- NVQ Level 3 in Business Admin or equivalent
